For Jobs, Candidates, Companies, and Contacts, you can create custom attributes to track, filter, and search information relevant to your business.

1. Open the Data Model settings

  1. Go to Settings.
  2. Under Workspace, open Data Model and pick the record type you want to create a custom attribute for.

Click Create your own attribute and choose the data type:
  • Text: free text input
  • Number: numeric values
  • Checkbox: a yes or no answer
  • Select: pick one option from a list
  • Multi-select: pick one or more options from a list
  • Date: date fields, for example an availability date
  • Rating: a score, which you can also filter on
  • Currency: monetary fields
  • URL: a web link
  • User and Multi-user: reference one or more people in your workspace

An attribute’s type is fixed when you create it and cannot be changed afterward. Pick it deliberately: changing your mind later means creating a new attribute and moving the data.

Options on a Select or Multi-select

Choosing Select or Multi-select adds a Select options field where you define the values people can pick. Options can be added later by editing the attribute, so the list can grow as you find cases it does not cover. That holds for attributes you fill yourself. Once Use AI to fill this column is on, the options are locked: a warning appears if you try to add one, and there is no way to reopen the list. To change the values an AI-filled attribute can choose from, create a new AI-filled attribute with the options you want.

Editing an existing attribute shows the type greyed out, which is the rule above made visible: the name is yours to change, the type is not, and the options are yours only while AI filling is off. The same dialog carries Use AI to fill this column, and a reminder that AI-filled attributes are forward-only: switching it on fills new records from then on and does not go back over the ones you already have. Once a custom attribute is created, it is available on all records of that type in your database.
Built-in System attributes (such as Location, Personal Email, or Language) are managed by Spott. You can star and reorder them, but you cannot rename them, change their type, or delete them. Only attributes you create can be edited or removed.

AI-filled columns

When creating an attribute, you can enable AI autofill. The system then populates the attribute automatically based on the record’s profile and CVs, following the prompt you write. See setting up AI-filled columns. Examples:
  • Age calculation based on graduation dates
  • Skills extraction from CVs
  • Category matching based on candidate profiles
AI columns work best on a finite set of values, so prefer a select or multi-select over free text. They are filled when you create the column and again when a record is created, and they are not kept up to date after that. You can refresh a value manually on the record, but there is no bulk refresh.
To refresh one, hover the cell and use Regenerate value with AI.

Use and manage custom attributes

Once created, custom attributes are directly usable across Spott. You can:
  • Fill in values directly in the table or on the record’s profile
  • Show custom attributes as columns and reorder them via View Settings
  • Filter and search on custom attributes
  • Star an attribute so it shows by default on records; unstarred attributes stay available under Show all values
