Email block list, portal stage filters, and fixed retained fees

  • Email block list: block specific email addresses or entire domains from email synchronization, so they are never imported into Spott. Keeps your database clean and gives you control over what syncs. Read the guide.
  • Company Portal stage filters: publish candidates to the Company Portal automatically as they move through your pipeline, and configure which stages trigger publication, so only candidates at the right stages are shared. Read the guide.
  • Fixed fees on retained jobs: retained placements now support a fixed success fee in addition to percentage-based fees, matching more retained fee agreements.
Also new: the OneUp and Nitro eSignature integrations, email previews in the Present flow, hiding weekend days in the Calendar, a fixed number of billed days on interim placements, end dates on contingent placements that put candidates back in the available pool, file attachments on placement pages, Job created and Candidate rejected automation triggers, message templates in automation send email actions, interim dashboards with weekly or monthly KPIs, deleting individual emails from the mail sync, AI summaries that use first names, and a configurable minimum duration for call transcription.

Docked emails, test sends, and conversational job descriptions

  • Docked email composer: dock the composer like Tasks and keep working in Spott while you draft, instead of being locked into the compose window.
  • Send test emails: send a message to yourself first to check formatting and personalization before a bulk send.
  • Rewrite job descriptions with AI: the Job Advertising page now has an Ask AI assistant that refines descriptions through a conversation, not just a one-click rewrite.
Also new: filter the Dashboard by Team, drag action blocks around in Automations, optional end dates on staffing placements with weekly GP from the working schedule, a minimum call duration for VoIP providers, Polish, Romanian, Italian, and Afrikaans as AI languages, new automation triggers (Job created, File expired) and actions (delete attachment, open placement, open note), merging records straight from table views, and VAT numbers on the Client API.

Unique record identifiers, attachment attributes, and DocuSign

  • Unique record identifiers: display a unique ID on every record and find records by ID in global search. Ideal for large databases with duplicate names. Admins enable it under Settings → Features.
  • Attachment attributes: attachments now support custom attributes and shared file types across records, configurable in Settings → Data Model and accessible via the API.
  • DocuSign integration: send any attachment for signature to one or more recipients and track signature status from the record’s files.
Also new: bulk present candidates from the Candidate table, bulk actions on the Similar Candidates tab, activity feeds filterable by type, upcoming meetings in the Calendar sidebar with double-click scheduling, list membership as a table column, email labels on send, and over-the-air updates for the mobile app.

The Marketing suite and multiple booking types

  • Marketing: create and send designed email campaigns with an interactive builder, recipient lists, and full tracking of opens, clicks, and unsubscribes. Enable it under Settings → Features. Read the guide.
  • Booking scheduler upgrade: create multiple scheduling links, such as a 15-minute intro call and a 1-hour interview, each with its own availability and rules, in a refreshed booking experience. Read the guide.
Also new: bulk publish candidates to the Company Portal, Boolean search on notes, Kanban column counts that cycle total, in-process, and rejected, tenant-wide video recording controls for the Note Taker, and the AdvertsData integration.

Import jobs from anywhere and full calendar management

  • Import jobs from the internet: bring any publicly visible job into Spott with the browser extension.
  • Calendar management: create, reschedule, and cancel calendar invites directly from the Calendar, and view your teammates’ calendars while scheduling.
Also new: in-job Matching rebuilt on the new search engine with 0 to 100 match scores and explanations, Kanban view for application lists, Boolean queries on jobs, contacts, companies, and opportunities, multiple locations per job, and explicit permissions for analytics reports.

Boolean search for candidates

  • Candidate Boolean search: full AND, OR, and NOT queries in candidate search. Spott switches to Boolean mode automatically when your query uses quotes. Read the guide.
  • Placement exports now include nested placement form values in the Excel output, ready for BI analysis.
Also new: automatic email warm-up for new campaign accounts, smarter AI filters that activate as you type, and time-based automation triggers.

Analytics exports and matching actions

  • Export analytics drilldowns to Excel for deeper analysis in your own BI tools.
  • Matching workflow actions: act straight from candidate-to-job match results, pitching a candidate to multiple jobs or bulk presenting them to clients.
Also new: filter the Application view by job stage, ZIP-code location filters, send calendar invites as Free or Busy, pagination on Global Search, and a Settings search bar.

Candidate cards and stronger automations

  • Candidates as cards: a richer, more visual layout next to the table view.
  • Automation extensions: time-based automations, field updates, more filter conditions, and more background actions.
Also new: enroll a whole List into a campaign, the Dialpad VoIP integration, company size and industry filters, and recurring and all-day meetings for Gmail and Outlook.

Bulk CV parsing

  • Parse up to 1,000 CVs at once from the Add Candidate button. Spott extracts the details and creates the records in the background.
  • Tab metadata: open browser tabs now show contextual titles so you can tell pages apart at a glance.
Also new: custom attributes on Applications, a replies-only filter in the Inbox, CC/BCC on background automations, and importing Contacts into a List or Candidates into a Job from CSV.

Application View, hierarchies, and AI filters

  • Application View: all speculative and regular applications in one list under Jobs, without opening each candidate or job.
  • Company hierarchies: model parent/subsidiary and PE-owned structures.
  • AI text to filters: describe who you are looking for in plain language and Spott builds the filters.
Also new: preview a campaign before enrolling recipients, idibu multiposting, convert interim placements to permanent, optional file upload on application forms, and application.rejected webhooks.

Personal email styling and smarter record selection

  • Default font family and size for emails, so messages from Spott match your usual mail client.
  • Improved record selection: every “Add to…” dialog now uses the richer Global Search format with contextual details.
Also new: bulk actions on Search results, sending InMails from the Inbox and Campaigns, excluding placed candidates in filters, and a permission to lock placements after creation.

Retained fees and campaign upgrades

  • Retained fees with milestones: configure milestones on the job, with values adjusting between estimated and final salary.
  • Campaign upgrades: campaigns now live inside Jobs, you can partially edit a running campaign, and sequences can exit when a meeting is booked.
Also new: saved filter sets, a clearer enrichment credit split (personal email 3, work email 1), inbound call pop-ups for Aircall/Ringover/RingCentral, and months and days as automation delay options.

Background automations and the MCP server

  • Background automations: trigger workflows from events such as application moved, placement created, task assigned, or job moved.
  • Spott MCP server: connect AI tools like Claude to securely read and write your Spott data. Read the guide.
Also new: an extensible GDPR consent model, optional attachment expiry dates, team filters, and Location Area filters on Contacts and Companies.

Search v2 and account security

  • Search v2: search your entire candidate database, not just within one job, with semantic job-title search and flexible location filters.
  • MFA and SSO: multi-factor authentication and single sign-on, plus password reset under Settings → Profile.
  • Spec workflow: create speculative applications in bulk and present to multiple client contacts at once.
Also new: link opportunities to jobs and convert won opportunities, bulk-update job attributes, Ask AI reading file attachments, and Swedish content generation.

Company insights and a bigger browser extension

  • Company information dialog: click through to linked candidates and contacts, headcount, and growth.
  • Browser extension upgrades: manage notes, tasks, lists, and campaigns, and import companies, all from the extension.
Also new: a Company Portal activity feed, color-coded select attributes, AI-filled candidate scorecards, and the VoIPPlay and Devyce VoIP integrations.

Faster bulk selection

  • Shift-click to select a range of rows across all core tables.
  • Exclude previously rejected candidates with a single filter.
  • Hyperlink variables, including Job and Candidate IDs, for dynamic links.
Also new: a Kanban view for speculative presentations, admin-configurable file types per record, and sorting and filtering on Campaigns and Lists.

Placements, Company Portal, and the public roadmap

  • Placements for perm and staffing: a clearer split across the product, with weekly GP tracking for staffing.
  • Company Portal upgrade: share files, scorecards, and a job overview; clients can request interviews and leave ratings.

Also new: export multiple job pipelines at once, duplicate an outreach campaign, and view the CV inline in the Experience tab.
