# Building dashboards

> Combine metrics, lists, pipelines and charts into dashboards for users, teams, or the whole company, and publish them to the right people.

Dashboards combine your [metrics](https://docs.spott.io/docs/reporting/metrics.md), lists, pipelines and charts in
one view. Each one is built once and then shows every viewer their own numbers, or their
team's, so a manager can have a personal dashboard and a separate one for their team, and a
consultant opens Spott to the figures that matter to them.

You build dashboards under **Settings → Performance → Dashboards**, which needs the
**Manage Analytics Reports** permission or an admin role. People read them on the
[Home dashboard](https://docs.spott.io/docs/get-started/dashboard.md).

## Create a dashboard

1. Go to **Settings → Performance → Dashboards** and click **New Dashboard**.
2. Enter a **Name** and choose the **Default scope**, for example **Current user**.
3. Click **Create**.

This opens the dashboard editor.

![The dashboard editor](https://mintcdn.com/spott-docs/4VrjewfkGuxuD_bk/images/reporting/dashboard-editor.webp?fit=max\&auto=format\&n=4VrjewfkGuxuD_bk\&q=85\&s=38ee8e0a2926d420ebb6324a464ca688)

From the editor you can:

* **Add widget**: add a single block to the dashboard.
* **Add collection**: add a named group of widgets.
* Set the dashboard's **Default scope** and **Default period**.
* **Preview** the dashboard as a specific user and for a specific time period.
* Switch between **Auto-layout** and **Custom layout**.
* **Rename** the dashboard, **Manage access**, **Save**, and **Publish**.

## Add widgets

Click **Add widget**, give the widget a **Title**, and choose its **Type**. Every widget
also has a **Default period** and a **Default scope**. A preview on the right updates while
you set it up.

![The four widget types: Metric, List, Pipeline and Chart](https://mintcdn.com/spott-docs/4VrjewfkGuxuD_bk/images/reporting/widget-types.webp?fit=max\&auto=format\&n=4VrjewfkGuxuD_bk\&q=85\&s=dcd3b12aca7150abf77819326fc01f94)

**Scope** decides whose data a widget shows, and it is what lets one dashboard serve many
people:

* **Current user**: the person looking at the dashboard.
* **Current team**: that person's [team](https://docs.spott.io/docs/settings/managing-teams.md).
* **All teams**: every team, side by side.
* **Company**: the whole workspace.

Set the scope based on what you want people to see.

### Metric

Shows a single saved metric as one number. Select the **Metric**, and switch on **Show
target** to show progress against the [target](https://docs.spott.io/docs/reporting/targets.md) for the viewer.

![Setting up a Metric widget](https://mintcdn.com/spott-docs/4VrjewfkGuxuD_bk/images/reporting/widget-metric.webp?fit=max\&auto=format\&n=4VrjewfkGuxuD_bk\&q=85\&s=cec9858a5024cc482d2987ed9dccd49f)

### List

Shows a table of records, for example all of your applications. You design the table
yourself:

* **Record type**: what the list shows, for example **Candidates** or **Applications**.
* **Columns**: add the columns you want to see, such as **Application Owner** or
**Application Labels**, and drag them into order.
* **Scope column**: decides whose records each viewer sees. For applications the default
is the **Application Owner**. Change it to **Job Owners**, for example, so that the owners
of a job see every application on that job.
* **Filters**: for example, only applications that are in process, without the rejected
  ones.
* **Sort**: how the list is ordered.

![Choosing the scope column of a List widget](https://mintcdn.com/spott-docs/4VrjewfkGuxuD_bk/images/reporting/widget-list-scope.webp?fit=max\&auto=format\&n=4VrjewfkGuxuD_bk\&q=85\&s=806e4ca5565ebe6eec72802547b079ae)

A List and a Pipeline widget also have a **Date column**. With **None (current state)**,
the widget shows every record in its current state, and the time period has no effect. With
a date column, it only shows the records whose date falls in the time period. For
applications, a switch decides whether **Speculative applications** are included.

### Pipeline

Works the same way as the [job pipeline](https://docs.spott.io/docs/jobs/job-pipeline.md) you already know: one
bar per stage, with the number of applications in each. Set the scope, typically **Current
user**, choose whether to include speculative applications, and add filters on top of the
default ones, which leave out closed jobs, rejected applications, and placed candidates.

### Chart

Works the same way as an insight in [Reports](https://docs.spott.io/docs/get-started/reports.md). Choose the
**Data**, for example Applications, Opportunities, or Candidates, the **Metrics**, and an
optional **Group by**. Then pick the **Type of insight** and the **Visualisation**: Bar,
Line, Pie, Single Metric, or Table.

The **Type of insight** is **Pivot** or **Historical Values**. Use Historical Values to
show a trend over time instead of a breakdown. Funnel and Time in Stage stay in Reports.

![Choosing the visualisation of a Chart widget](https://mintcdn.com/spott-docs/4VrjewfkGuxuD_bk/images/reporting/widget-chart.webp?fit=max\&auto=format\&n=4VrjewfkGuxuD_bk\&q=85\&s=4854035021323d4b47216c9e08a7720c)

> [!TIP]
>
> **Metric or Chart?** A Metric widget always shows one number, with its target if you want
> one. A Chart widget shows data the way Reports does, as a bar, line, or pie chart or a
> table. Your saved metrics can be shown as charts too.

## Organise widgets in collections

A **collection** is a named group of widgets on the dashboard, for example *Business
development*, *Talent pipeline*, or *Matching*. Collections keep a busy dashboard readable.

Choose a layout per dashboard:

* **Auto-layout**: every widget gets the same size.
* **Custom layout**: drag the corner of a widget to resize it, so you can design the
dashboard exactly the way you want.

![Resizing a widget in Custom layout](https://mintcdn.com/spott-docs/4VrjewfkGuxuD_bk/images/reporting/dashboard-custom-layout.webp?fit=max\&auto=format\&n=4VrjewfkGuxuD_bk\&q=85\&s=31ebd52a55e19af8df842f3c6ed61643)

## Time periods: dashboard defaults and widget defaults

Each widget has its own default period, and the dashboard has a **Default period** too. On
the dashboard, choose one of two options:

* **Widget defaults**: every widget uses the period set on the widget itself. Use this to
show different periods side by side, for example this quarter next to last quarter.
* **A specific period**, for example **This quarter**: every widget on the dashboard uses
  it.

![Setting the dashboard's default period](https://mintcdn.com/spott-docs/4VrjewfkGuxuD_bk/images/reporting/dashboard-default-period.webp?fit=max\&auto=format\&n=4VrjewfkGuxuD_bk\&q=85\&s=f178ff61a92cd4a9e5907976e190885e)

To change one widget's period, open the widget's menu, choose **Edit**, and change its
**Default period**. The **Default scope** works the same way: set the dashboard to
**Widget defaults** and each widget keeps its own scope.

Comparing quarters used to take a separate report per quarter. With widget defaults, one
dashboard shows them side by side.

## Manage access and publish

Click **Manage access** to choose who can view the dashboard:

* **Everyone in workspace**: all members of your workspace.
* **Specific people**: only the people you choose, picked as individual **People**,
  **Roles**, or **Teams**.

![Managing access to a dashboard](https://mintcdn.com/spott-docs/4VrjewfkGuxuD_bk/images/reporting/dashboard-access.webp?fit=max\&auto=format\&n=4VrjewfkGuxuD_bk\&q=85\&s=37255dad5841f0a48ce3db9955124c03)

Before publishing, use **Preview** to check what the dashboard looks like for a specific
user. When it is ready, click **Publish**. It then appears on the Home dashboard of
everyone it is shared with.

## Manage your dashboards

The **Dashboards** tab lists every dashboard with its **Status** (Draft or Published), its
**Access**, its **Sync** status, and when it was created and last changed. Open the **⋮**
menu on a dashboard to **Rename**, **Duplicate**, **Manage access**, or **Archive** it.

![Dashboard actions: Rename, Duplicate, Manage access and Archive](https://mintcdn.com/spott-docs/4VrjewfkGuxuD_bk/images/reporting/dashboards-list.webp?fit=max\&auto=format\&n=4VrjewfkGuxuD_bk\&q=85\&s=06272668b0ec3e8d87fd89e7ffa6c08f)

Archived dashboards move to the **Archived** tab, where you can **Unarchive** or
**Duplicate** them. Dashboards cannot be deleted permanently: archiving is how you take one
out of use.
