# Campaigns

> Create, manage, and track multi-channel outreach campaigns to contact multiple recipients in a structured way.

You can quickly navigate to Campaigns with `G` then `H`. See all
[keyboard shortcuts](/docs/settings/keyboard-shortcuts).

**Campaigns** in Spott allow you to contact multiple recipients through automated multi-channel sequences. Campaigns help you send personalized messages, follow up automatically, and track replies and engagement from a single place.

Each campaign consists of one or a sequence of steps, enrolled recipients, and timing rules that define when messages are sent.

Make sure **Outreach Campaigns** are enabled in the settings before proceeding. You can find this under **Settings > Features > Communication.**

## Campaign types

When you create a campaign, you pick a **type**, which decides what context the
sequence is built around:

* **Generic Outreach Campaign**: a message sequence that only uses the recipient as
  context. No job or candidate is required, so this is the most flexible option for
  general outreach.
* **Present Job to Candidates**: a message sequence to contact candidates about a
  specific job. A job must be set as context.
* **Present Candidate to Contacts**: a message sequence to present a candidate to
  hiring managers without an active role. A candidate must be set as context.

## Create a new outreach campaign

### 1. Navigate to Campaigns

In Spott, go to **Campaigns**

* Click **New campaign** in the top right

* Give your campaign a **name**, a **type**, a **job**, and a **default stage**

* You can also create Campaigns **from a template**, so you can reuse best practices from other sequences

**Generic outreach campaigns** only requires recipients - which gives you the flexibility to set up and run sequences without needing additional context such as a Job or Client Contact.

* New campaigns are created in **Draft** status by default. Your default email signature is prefilled automatically.

### 2. Draft your campaign

In the campaign editor, you can add one or more steps by clicking **Add step to sequence**. Steps are grouped into **Automated** and **Manual**.

### **Automated Steps**

The only fully automated step is:

* **Email** - Automated email, based on a template

For each email step, you can configure:

* Subject

* Email content

You can use variables such as:

* `\{ Recipient > First Name \}`, inserts the recipient’s first name

* `\{ Job > Name \}`, inserts the job title associated with the outreach

Variables are automatically replaced when the email is sent. Type `{` in the subject or body to open the variable picker, which also includes AI generated content and a **Request updated CV link**.

When editing an email step, you can also use **AI generated content** to generate text based on a selected context and instruction.

For example, you can ask AI to:

* Write in 3 bullet points, max 15 words each, why this opportunity is interesting for the recipient

### **Manual Steps**

At the moment, the following sequence steps are manual:

* LinkedIn Connection Request

* LinkedIn Message

* **Generic Task**, a reminder or to-do you complete yourself

* Phone Call

* WhatsApp Message

What this means is that when a contact reaches this step in the sequence, the message will not be sent automatically, neither will the LinkedIn request. Instead, a task is created in your task list, including the relevant contact details and message template prepopulated. See Examples here below:

Once you have completed the task, click on one of the two available action buttons:

* **Complete & continue campaign** - sends recipients to the next step in the sequence

* **Complete & exit campaign** - makes them exit the campaign after this step

### 3. Set timing and add steps

You can control when your campaign starts and how emails are spaced.

* Set a wait time in **business days** between each email step

* Choose how many business days after enrollment the campaign starts for new recipients

* Add new steps to extend the sequence, each with its own timing

This allows you to control both the start and pacing of your campaign.

### 4. Enroll recipients

Recipients are not contacted until they are enrolled.

To enroll recipients:

1. Open the campaign

2. Go to the **Recipients** tab

3. Add recipients

4. Click **Enroll recipients**

You can enroll recipients while the campaign is still in draft.

You can also enroll people in campaigns from the candidate or contact view, from lists, or directly from the pipeline, by clicking the checkbox next to their name.

### 5. Configure the side panel and start

From the campaign's side panel you can control how messages go out:

* **Delivery Window**: the hours during which messages can be sent (for example
  9:00 AM to 5:00 PM in your time zone), with a **Business days only** toggle

* **Configuration**: optionally enrich contact details automatically when they are
  missing, and skip steps automatically when no valid contact details are found

* **Sender Settings**: the mailbox and signature used, whether to deliver to work
  or personal addresses, threaded emails, and delegated sending. A campaign always
  sends from the mailbox of the person who created it. **Threaded emails** keep
  follow-ups in the same thread automatically when the toggle is on. With **delegated
  sending** on (the default), colleagues can add recipients to, and start, a campaign
  you created.

* **Exit Criteria**: when recipients leave the campaign automatically, for example
  when a **reply is received** or a **meeting is booked**. You can also move
  recipients to a pipeline stage based on the outcome, with separate **If replied**
  and **If no reply** stage actions.

Once your steps and recipients are ready:

* Click **Start Campaign**

Emails are sent and tasks are created automatically based on the defined timing rules.

### 6. Track Progress

New sending accounts are warmed up automatically, ramping up volume gradually to protect your email reputation instead of sending at full capacity from day one.

From the campaign home, you can track progress, including the campaign's completion and its **reply rate**. Spott keeps monitoring for replies for a cooldown period after the last step, so late answers are still captured.

<Note>
  A few sending details worth knowing:

  * Within a step's send window, individual emails are spaced out by a random gap of
    **30 seconds to 20 minutes**, which is why a step can go out over a few hours.
  * There is a limit of about **100 emails per day per connected account**.
  * Campaigns track **reply rate only**. There is no open or click tracking. For open
    and click tracking, use [Marketing](/docs/outreach/marketing).

Use the filters, sorting, and search bar on the Campaigns page to keep a large set of campaigns organized.

## Managing a running campaign

You do not have to stop a campaign to adjust it:

* **Pause and resume** a running campaign at any time.
* **Edit the message content** of steps, even after the campaign has started.
* **Duplicate** a campaign back to draft to reuse it as a starting point.
* **Unenroll individual recipients** without affecting the rest of the run.

It is still easiest to finalize your sequence before you start, so plan the steps up
front where you can.

## Campaign templates

To reuse a sequence you run often, save it as a **campaign template**. Templates live
under **Campaigns → Campaign Templates**, each with a **Purpose** (for example Generic
Outreach Campaign, Present Job to Candidates, or Present Candidate to Contacts) and the
teammate who created it.

Click **New campaign template** to build one, or start a new campaign from an existing
template to keep your team's outreach consistent.
